2007 VOLUNTEER ASSIGNMENT AREA DESCRIPTIONS
CREDENTIALS
Credential volunteers will support the operation of the Accreditation Office, located outside of the venue, where event credentials are issued to volunteers, members of the media, event participants, sponsors and guests. This area requires attention to detail and involves the preparation of credentials, assembling information packets (including volunteer goodie bags) and ensuring that proper credentials are issued correctly to those authorized to receive them. Basic filing and clerical skills are required. Assignment to this area requires a commitment to volunteer a minimum of twenty-five (25) hours scheduled during the two weeks leading up to the Event and through race weekend. Daytime availability is preferred.
EXPO/FESTIVAL
Volunteers will help coordinate the set-up, teardown and operation of a variety of displays and activities being staged in the Fremont Street District, the Expo area near the Main Grandstand and on the entertainment stages. Individuals assigned to this area will assist staff with entertainment programs and autograph sessions, while working with sponsors, vendors, other event participants to ensure the smooth operation of their interactive displays. Assignment to this area requires daytime availability on Wednesday or Thursday, April 4th or 5th, and a commitment to work a minimum of twenty-five (25) hours through the event weekend.
GUEST SERVICES (INFORMATION BOOTHS)
Guest Services volunteers dispense information about the event, race-related activities and venues around the Greater Las Vegas area. Individuals assigned to this area may need to prepare and organize the information materials prior to the race and be available to work during the event weekend. Assignment to this area requires a minimum commitment of Saturday and Sunday, although a three-day commitment is preferred. This busy area requires active, friendly volunteers who are people oriented and effective communicators.
HOSPITALITY
Hospitality volunteers facilitate the operation of corporate suites, hospitality clubs and villages. Assignment to this area is not as a host or hostess, but to assist clients and the race staff in maintaining well-run suites, making sure clients have and receive proper credentials, pit pass redemption and ensuring that a supply of materials are kept on hand. Assignment to this area requires that volunteers be available no less than Saturday and Sunday of race weekend. However, a three-day commitment is preferred.
HOTEL AMBASSADORS
Volunteers assigned to this area will staff event information desks conveniently located inside each hotel/casino within the event venue and assist hotel guests upon their arrival and/or departure. Some assistance with luggage may be required. Assignment to this area requires that volunteers be available no less than Saturday and Sunday of race weekend. However, a three-day commitment is preferred.
MEDIA CENTER
Volunteers will assist the Vegas Grand Prix' Public Relations staff with the set-up, operation and teardown of the Media Center and Interview Room while also assisting members of the media and photographers by providing information, making copies, answering questions and distributing event updates. Individuals assigned to this area must be available the three days of the event weekend and be prepared to work the extended hours of operation required for the Media Center.
OFFICE SERVICES
Office Service volunteers will provide assistance to the administrative staff of the Vegas Grand Prix. Duties will include general office tasks ranging from answering telephones, operating a computer, assembling mailings, running copies and/or assisting members of the Grand Prix staff. Assignment to this area requires a commitment to work a minimum of twenty-five (25) hours, either during the weeks and months leading up to the event or during the event weekend.
PADDOCK TOURS
A select group of volunteers are needed to conduct Paddock Tours for sponsors, hospitality clients, dignitaries and other VIP guests. These individuals will be required to provide commentary and and answer questions during regularly scheduled walking tours of the areas where the Champ Car and Atlantic teams work to prepare their race cars. Volunteers assigned to this area must be knowledgable about the Vegas Grand Prix, Champ Car and other forms of racing, while being available to work during the three days of the event weekend. Attendance at a pre-event training session will also be required.
PASS CONTROL
Pass Control volunteers help control access to restricted areas adjacent to the track and Pit Lane while also assisting with pre-scheduled pedestrian crossing operations at specific locations around the track. They check for proper credentials and direct patrons around the circuit. Assignment to this area requires that individuals be available all three days of the event weekend and attend at least one mandatory training session prior to the event.
PEDESTRIAN FLOW
Pedestrian Flow volunteers direct traffic over the pedestrian bridges, to walkways and routes around the venue, while assisting patrons as needs arise. They also assist with directions around the circuit or provide other event information. Assignment to this area requires a minimum commitment of Saturday and Sunday, although a three-day event weekend commitment is preferred.
SPECIAL EVENTS
Many special events are being planned in conjunction with the Vegas Grand Prix, including such activiites as celebrity poker tournaments, a gala dinner and concert, a multi-denominational Easter Service and brunch, an Easter Egg Hunt and more. Volunteers will be needed to support the operation of these activities. While specific schedules and needs are not yet available, individuals assigned to this area will be required to assist with more than one activity and work a minimum of twenty-five (hours) during the weeks leading up to the event weekend.
TRACK SERVICES
Track Service volunteers have the unique opportunity to be "behind the scenes" with the production of the Grand Prix. Volunteers in this particular area are asked to assist the operational staff on race weekend, as well as the weeks before and after the event with various "hands on" projects. This area is for volunteers who don't mind getting dirty. Duties include: Tire wall construction, television placement, painting, and overall track maintenance, including making repairs to the track on race weekend, and installation, maintenance and removal of track signage (sponsor banners, credential access, directional, grandstand sections, etc.) Volunteers who are interested in this area should be aware that certain assignments may require heavy physical activity. Assignment to this area requires a minimum volunteer commitment of 25 hours (either daytime or evening hours) in the weeks leading up to and/or during the race weekend.
USHER
Usher volunteers check tickets, control the flow of crowds into the grandstand areas and assist patrons to their seating locations. Ushers must also deter people from entering grandstand areas for which they do not have tickets and properly redirecting around the venue. Individuals assigned to this area may be asked to assist those who are physically challenged. Assignment to this area requires that volunteers be available on Saturday and Saturday of the event weekend, however a three-day commitment is preferred.
VOLUNTEER POOL
Volunteers who would prefer to have a variety of working experiences during the event weekend should opt to be assigned to the Volunteer Pool. Rather than having specific duties, volunteers are assigned on an as-needed basis. Individuals assigned to this area will report to the Volunteer Office but will likely work different areas throughout the weekend. Assignment to this area requires that volunteers be available on Saturday and Saturday of the event weekend, however a three-day commitment is preferred.
VEGAS GRAND PRIX PROMOTIONAL TEAM (Independent of Race Weekend)
Members of this team will travel to special events and activities throughout the Las Vegas region during the next several months to promote awareness of the Vegas Grand Prix. Many events will also feature the Vegas Grand Prix display car, which is a full size Champ Car! These events might require members of the promotional team to help position the car at the venue in addition to passing out promotional materials and answering race-related questions. This is a great way to meet other volunteers in advance of the event weekend and generate excitement for the Vegas Grand Prix. Please note that participating in the Promotional Team is about and beyond your event weekend commitment.
